Refund Policy for Sailing Xperience

Thank you for choosing Sailing Xperience. We understand that plans can change, and this Refund Policy outlines how we handle cancellations and refunds for services booked through https://sailingxperience.com, operated by SC Sailing Experience SRL.
By booking with us, you agree to the terms set out below. This policy should be read together with our Terms of Service.
1. Sailing Training Courses
This applies to: Monohull Training, Catamaran Training, RYA Day Skipper, and ICC C-D-S Permit.
Cancellation by You
All deposits and payments are non-refundable.
If you cancel and we are able to find a replacement for your spot, we will refund all payments except the reservation deposit:
Monohull Training / Catamaran Training: 320€ reservation fee retained
RYA Day Skipper / ICC C-D-S Permit: 100€ reservation fee retained
If we cannot find a replacement, no refund will be issued.
We will make reasonable efforts to find a replacement as quickly as possible, but this is not guaranteed.
Transferring Your Spot
You may propose a replacement participant. If the replacement is accepted by us, the same deposit retention terms above apply.
2. Sailing Adventures
This applies to: Whisky Sailing Scotland, Guinness Sailing Ireland, Arctic Sailing Tromsø, and Caribbean Islands Guadeloupe.
Cancellation by You
More than 60 days before departure: Full refund minus the non-refundable deposit.
30–60 days before departure: 50% of the total price refunded. Deposit is not refunded.
Less than 30 days before departure: No refund.
No-show: No refund.
Transferring Your Booking
You may transfer your booking to another person subject to our approval. Transfer requests must be made in writing to anchor@sailingxperience.com at least 14 days before departure. We may decline a transfer if the replacement does not meet the requirements of the experience.
3. Flotillas & Festivals
This applies to: Ionian Flotilla, Sierra Fest, and any other flotilla or festival events.
Cancellation by You
More than 60 days before departure: Full refund minus the non-refundable deposit.
30–60 days before departure: 50% of the total price refunded. Deposit is not refunded.
Less than 30 days before departure: No refund.
No-show: No refund.
Transferring Your Booking
Same transfer terms as Section 2 above.
4. Yacht Charter (Brokerage)
When you book a yacht through our charter search tool, the cancellation and refund terms of the vessel owner or charter company apply — not ours. We act as a broker and facilitate the booking, but the charter contract is between you and the third party.
We will assist you in communicating with the charter company regarding cancellations, but we cannot override their policies. Alumni discounts provided by Sailing Xperience are non-recoverable once applied to a confirmed charter.
5. Private Sailing Experiences
Cancellation by You
More than 90 days before departure: Full refund minus the non-refundable deposit.
45–90 days before departure: 50% of the total price refunded. Deposit is not refunded.
Less than 45 days before departure: No refund.
No-show: No refund.
Private sailing bookings involve significant advance commitments (vessel charter, crew, provisioning). The longer cancellation windows above reflect these costs.
6. Cancellation by Sailing Xperience
We reserve the right to cancel any service due to circumstances beyond our reasonable control, including but not limited to severe weather, unsafe sea conditions, vessel mechanical failure, government restrictions, port closures, pandemics, or insufficient group size.
If we cancel a service:
You will be notified as soon as reasonably possible.
You will be offered the choice of:
A full refund of all amounts paid, or
Credit toward a future Sailing Xperience service of equal or greater value, to be used within 12 months.
We are not liable for additional costs you may have incurred (flights, accommodation, travel insurance) as a result of a cancellation. We strongly recommend purchasing comprehensive travel insurance for all bookings (see our Terms of Service, Section 8).
7. EU Consumer Rights — Right of Withdrawal
Under EU Directive 2011/83/EU, consumers purchasing services online generally have a 14-day right of withdrawal. However, this right does not apply to contracts for leisure services that provide for a specific date or period of performance (Article 16(l) of the Directive).
As our sailing experiences, training courses, flotillas, and private trips are all scheduled for specific dates, the 14-day withdrawal right does not apply once your booking is confirmed. The cancellation terms in this policy apply instead.
8. Refund Process
Refunds will be processed to the original method of payment within 14 business days from the date we confirm your cancellation.
Processing times may vary depending on your bank or payment provider.
Refunds are calculated based on the date we receive your written cancellation request, not the date of your last communication.
All cancellation requests must be sent in writing to anchor@sailingxperience.com.
9. Complaints
If you are dissatisfied with any aspect of our services, please contact us at anchor@sailingxperience.com within 14 days of your service date. We take every complaint seriously and will review each case individually, which may result in a full or partial refund, credit, or other resolution.
If we cannot resolve your complaint directly, you may refer the matter to ANPC (Autoritatea Națională pentru Protecția Consumatorilor) or use the EU Online Dispute Resolution platform at https://ec.europa.eu/consumers/odr.
10. Non-Refundable Items
The following are non-refundable under all circumstances:
Reservation deposits (as specified per service type above)
Services already rendered (e.g., days of a trip already completed before cancellation)
Optional extras purchased through third parties (excursions, transfers, insurance)
Bookings marked as non-refundable or promotional at the time of purchase
11. Changes to This Policy
We reserve the right to modify this Refund Policy at any time. Changes will be posted on this page with an updated "Last updated" date. The policy in effect at the time of your booking applies to that booking.
